Managing Tracked Users : Exclude or Delete

This guide explains how to exclude or delete tracked users—your product’s end users—from a profile in Accoil.

These actions help you maintain clean and accurate engagement data while supporting data privacy and compliance efforts.

⚠️ These are not Accoil account users. They are your product’s users, whose behavior is tracked in Accoil to calculate engagement and adoption metrics.


Why This Matters

Managing tracked users ensures your engagement scores and metrics reflect real, relevant product usage.

  • Exclude users to omit their actions from profile metrics without deleting them.

  • Delete users to remove them and their data entirely from the profile.


How to Remove Tracked Users from a Profile

Step-by-Step Instructions

  1. Go to the User Detail Page for the tracked user you want to manage.

  2. Click the Options button in the top right.

  3. Select one of the following:


Option 1: Exclude from Profile

Exclude a tracked user to keep their data in Accoil, but stop including their activity in profile-level engagement metrics.

  • Their actions will no longer impact:

    • Engagement Scores

    • Adoption or Activation metrics

    • Feature usage calculations

  • The user will be hidden from the profile's standard user lists, but still searchable.

✅ Ideal for:

  • Internal or QA users

  • Bots or automated test accounts

  • Customer support or demo users


Option 2: Delete User

Delete a tracked user to permanently remove them and all their activity from the profile.

  • All associated events and usage data are deleted.

  • Engagement and adoption scores are fully recalculated.

  • Tracking of the user is stopped immediately.

  • A full deletion is typically processed within 24 hours.

🛑 Ideal for:

  • GDPR or data deletion requests

  • Test or duplicate accounts cleanup

  • Irrelevant or churned users

⚠️ Warning: Deleting a user only removes the data Accoil has already received.
If this user's details are sent again (e.g., via Segment, SDK, or API), the user will reappear in Accoil as a new tracked user.


How to Re-Include an Excluded User

If you excluded a user from a profile and want to reverse that:

  1. Use the search bar to find the tracked user by name or email (they won’t appear in standard lists).

  2. Go to their User Detail Page.

  3. Click Options and select Include in Profile.

➡️ Their activity will once again contribute to engagement and adoption metrics within the profile.

These are end users of your product, not members of your Accoil team. Accoil tracks their behavior to generate insights—so managing them thoughtfully ensures your metrics remain meaningful and your data stays compliant.
